01 · Book
One calendar for every unit you rent out.
Create a reservation for a customer and a unit, with start and end dates, a rate and a deposit. Each agreement gets its own number, and the calendar shows every reservation per unit by month.

- Customers come from the same records your team already uses.
02 · Out and back
Meter readings in and out, charges on the return.
Start the rental with the odometer or hour-meter reading as the unit leaves the yard. On return, record the reading, the return date and any fuel or damage charges. The unit goes back into the available pool.

03 · Get paid
Deposits, charges and payments on the agreement.
Every agreement carries its own running balance, so the counter and the office see the same number.
- Rate basis
- Daily, weekly or monthly rates per unit. The rental charge is worked out from the period and the rate when the unit comes back.
- Deposits
- Record the deposit on the agreement and see it against the charges.
- Extra charges
- Fuel, damage, delivery and late charges added as separate lines with a description.
- Payments
- Payments recorded against the agreement with method and reference, until the balance is cleared.
- Overdue
- Agreements past their end date are flagged in the rentals list.
- Voids
- Charges and payments are voided, not deleted, and every void records who did it and why.
04 · Between hires
Service units between hires, from the same record.
Open a work order against the unit when it comes back, and schedule preventive maintenance so a unit that is due for service is caught before it goes out again.
- A return can raise a work order on the unit.
- Parts and labour posted to the unit.
- One service history per unit, hire after hire.
